HivemindOS manual

Finances

Finances shows what you own, what you owe, where your money goes, and what needs attention. Open More → Finances to see net worth, monthly cash flow, accounts, activity, budgets, goals, and alerts.

It starts empty. Add only the accounts you want HivemindOS to track.

Add your accounts

Choose Add account, then pick one:

  • Connect a bank or card keeps supported bank, card, loan, and investment accounts up to date after a secure sign-in.
  • Add a balance yourself tracks cash, property, loans, offline investments, or anything else with a balance.
  • Import a statement adds history from a CSV, OFX, or QFX file. Re-importing the same rows doesn’t create duplicates. If a card statement lists purchases as positive numbers, open Advanced in the import window and turn on the option to flip money in and out; re-importing with it on fixes those rows.

Connecting or reconnecting a bank always asks you to confirm it’s you first, with Face ID, Touch ID, a passkey, or your dashboard device token, even if the dashboard is already unlocked.

Your HivemindOS wallets and connected brokerage accounts are added when you refresh.

Automatic updates are included with HivemindOS Plus, Pro, and Max. Without a plan, you can pick one during setup without losing your place, or keep using manual balances and statement imports. Self-hosted installations can use their own bank connection under Advanced.

Connected accounts refresh when you open Finances if they are more than a few minutes old. Use the refresh button next to Add account for the latest balances now. A connection that needs attention shows on its account card and in the watchlist.

Find your way around

Finances has four sections: Overview, Activity, Accounts, and Plans. Importing, exporting, merchant rules, agent access, preferences, and your own bank connection are in the ⋯ menu next to Add account.

  • Overview separates assets from debts, cash from investments and crypto, and settled income from settled spending. It shows your net worth over time, this month compared with the same point last month, and money in and out for recent months. Accounts in another currency stay visible but are not converted or added to your total.
  • Transfers. When money leaves one of your connected accounts and the same amount arrives in another within a few days, it’s a transfer between your own accounts and doesn’t count as income or spending. Other transfers do count, because they’re usually payments to people or apps. If one is really your own account that isn’t connected, choose My account under Transfers to check and it’s left out from then on.
  • Repeat charges lists subscriptions, bills, and usage-billed services found in your activity, with what each costs per month. The watchlist tells you when a fixed-price charge goes up or a new one starts.
  • The watchlist flags connection problems, low balances, unusually large purchases, budgets near or over their limit, and upcoming debt payments.
  • Activity lets you search transactions and fix categories. Your category choice stays when the account refreshes. After changing one, choose Apply to all to do the same for every charge from that merchant, now and later. Select a transaction to add a private note, mark it as business, or exclude it from income and spending, for example a refund. Filters narrows to one account or category.
  • Merchant rules in the ⋯ menu lists every “all charges from this merchant” choice you’ve made. Deleting a rule returns those charges to your bank’s category. A category you set on a single transaction always wins over a rule.
  • Business and personal. Mark an account as a business account, or mark single transactions or merchants as business. Once anything is marked, the Overview can show all, personal, or business spending.
  • Accounts groups everything by type. Accounts with a zero balance wait behind a Show empty accounts row. Select an account to see holdings, or a debt’s rate, minimum payment, and due date, and to rename it, hide it, or leave it out of net worth. All holdings lists every position.
  • Plans holds monthly category budgets (with suggested limits based on your last three months that you can add in one step), savings and debt-payoff goals (with an optional target date showing the monthly pace), and suggestions from agents. Goals can follow an account balance or be updated by hand.

Removing a manual account removes its imported history. Removing a connected institution removes all its accounts. HivemindOS asks first.

Use Export data in the ⋯ menu for a portable copy of your records. If your plan ends, you can still view, export, and remove connections; automatic refresh resumes when the plan is active again.

Ask about your money

Type a question such as “Why did I spend more this month?” or “What are my biggest subscriptions?” in Ask about your money on the Overview. The answer uses a summary of your accounts, months, categories, merchants, and repeat charges. Account numbers are never included.

Questions are answered only by a private model that keeps nothing, and agents never see them. Answers stay on screen until you leave Finances and aren’t saved.

Give an agent access

Agents have no access to Finances by default. When an agent in chat needs your finances, the chat asks you right there: Just this time, For today, Always, Not now, or Never. Its answers use the model that agent runs on.

To set access ahead of time:

  1. Open Agent access from the ⋯ menu.
  2. Choose one agent.
  3. Grant only the abilities and accounts it needs.

Abilities cover the overview, accounts, transactions, categories, holdings, budgets, goals, alerts, and suggestions. Leaving every account unchecked grants access to all current and future accounts; checking accounts limits access to those.

An agent can also be allowed to suggest a transfer, trade, or payment, with an optional dollar ceiling. A suggestion is a plan for you to review, not a money movement. Approving it saves your decision; any real transfer or trade still goes through its own wallet or trading confirmation and limits.

You can remove an agent’s access at any time without changing its other permissions. Agent access also shows access that ends later today and agents you blocked with Never. Edit a blocked agent to allow it, or remove it to be asked again.

Privacy

  • Financial data stored on your computer is encrypted and private to the current workspace.
  • Bank passwords stay in the secure connection window and never reach HivemindOS or its agents.
  • Statement files are not shown to agents. Agents see only what their permissions allow.

Finances helps you organize and oversee money. It doesn’t replace your institution’s statements and isn’t tax, legal, or investment advice.
